Is Your Business Ready for AI?

Reference materials and practical guides for businesses evaluating AI tools. Understand data privacy, choose the right tiers, and adopt AI safely.

Why AI Readiness Matters More Than AI Adoption

Most businesses jump straight into using AI tools without asking the right questions first. They sign up for ChatGPT, hand it to the team, and move on. Months later they find out their employees have been feeding client contracts, financial data, and internal strategies into a system that trains on everything it sees. That's not an AI problem. That's a readiness problem.

AI readiness means understanding what these tools do with your data before you put anything sensitive into them. It means knowing the difference between a $20/month plan that trains on your conversations and a $25/month plan that doesn't. It means having a policy your team can actually follow, not a 40-page document nobody reads.

We built this resource center to give business owners and IT leaders the reference materials they need to adopt AI with confidence. Every guide is written from the perspective of an IT consulting team that sets this up for businesses every week. No vendor spin, no theoretical frameworks. Just what you need to know to make good decisions.

How to Use the AI Readiness Center

Start with the provider privacy matrix below. It shows you exactly which AI tools train on your data at each pricing tier. From there, pick the provider guide that matches what your team is using (or considering). If you're in healthcare, legal, or financial services, check the HIPAA and compliance guides. And if you're worried about what your team is already doing with AI, the Shadow AI page is where to start.

Everything here is free to read. If you want the complete guide as a PDF for your team or a slide deck for your next leadership meeting, you can download the gated whitepaper at the bottom of this page.

AI Readiness FAQs

Does ChatGPT train on my business data?
On the free and Plus plans, yes, by default. OpenAI may use your conversations to improve their models. On Team and Enterprise plans, your data is never used for training. If you're on Plus, you can opt out in Settings > Data Controls, but Team or Enterprise is the safer choice for businesses.
Which AI tier does my business need?
It depends on what data your employees put into AI. If it's only public information (marketing copy, general research), any tier works. If it's internal documents or financial data, you need at least a Team plan. If it involves client PII, medical records, or legal files, you need an Enterprise plan with a Data Processing Agreement (DPA).
Is there a HIPAA-compliant AI tool?
Yes, but only at Enterprise tiers with a Business Associate Agreement (BAA). Google Vertex AI, Azure OpenAI, and Amazon Bedrock all offer HIPAA-eligible configurations. Consumer products like ChatGPT Plus or Google Gemini are NOT HIPAA compliant at any tier.
What is shadow AI and why should I care?
Shadow AI is when employees use personal AI accounts (like free ChatGPT) to process company data without IT's knowledge. IBM research found that 20% of organizations have experienced data breaches related to shadow AI. An AI acceptable use policy and approved enterprise tools are the fix.
How much does it cost to use AI safely in my business?
Team plans for ChatGPT, Claude, and Gemini run $25-30 per user per month. For a 15-person company, that's roughly $375-450/month for safe, compliant AI access, compared to the average cost of a data breach ($4.88M in 2024 according to IBM). Enterprise plans are custom-priced.
